Responsibilities/Requirements

 

The Benefits Specialist analyzes, audits, researches, implements and administers the company employee benefit programs.  In addition, this position reviews and recommends potential changes to plans, as appropriate, based on industry trends, current literature and consultant recommendation. 

 

Responsible for Open Enrollment rollout in HCMS and for Annual Open Enrollment communication.  This includes the testing of the open enrollment system in SAP, once built, transmission of open enrollment data to the benefit vendors for changes, deletions and/or adds

*Managing the preparation of employee communications

*Developing and updating forms and applications

*Fielding employee questions

*Processing and auditing Open Enrollment elections

*Responsible for overseeing the 401(k) bi-weekly processing and act as the administration liaison with the HR Contact Line.  Primary point of contact for all annual 401(k) projects such as the Plan Audit, Annual Allocations and ensure compliance of the 401(k) plan.

*Responsible for automated and effective setup of benefit plans in HR systems (HCMS) for payroll.

*Work with SAP implementation team, SAP Basis and Unite to update HCMS systems with new rates, etc.   

*Responsible for oversight and management of the Leave of Absence policy and administration. Monitoring the relationship between HR Contact Line, The Hartford (disability carrier), HR Consultants, supervisor/manager, and employees for FMLA, STD and Other Leaves. 

*Process paid and unpaid leaves under FMLA. 

*Assist and maintain communication with employees, HR Generalists/Business Partners, and Managers by providing a clear understanding of the short term disability plan and to insure timely filing of claims with the carrier.

* Coordinate Workers Compensation leave with company internal Workers Comp administrator.  *Provide Workers’ Comp carrier benefit eligibility information when processing a claim. 

*Ensure coordination of FMLA/Workers’

*Compensation claims between disability and WC carrier. 

*Act as a point of escalation and consult on complex cases as appropriate.

*Responsible for overseeing the transmission of weekly eligibility files to our vendors, Aetna, Caremark, VSP, The Hartford and WageWorks.  

*Respond and correct error eligibility reports provided by vendors after file submission. 

*Ensure updates to file transmission methods are updated for successful transmission of eligibility information.

*Responsible for Updating/Changing/Deleting information (i.e., Benefit Forms & Brochures, COYou2, Personal Events, Summary Plan Descriptions, Employee Assistance Plan, Employee Handbook, Health & Welfare Information,etc.) on HR & Training web pages. 

*Responsible for leading special projects and initiatives within the benefits department as assigned.

*Responsible for the coordination of employee health and wellness programs and events (i.e., Pandemic and Wellness Committee) as assigned. 

*Responsible for updating and distribution of Summary Plan Descriptions and benefit plan compliance for:

~Annual IRS Form 5500s

~Summary Annual Reports (H&W, Pension and Savings)

~ HIPAA Notice (every 3 years)

*Responsible for training HR Contact Line representatives on different benefit programs/events, LOA administration, Life and Work Events, and Open Enrollment.

*Provide technical support to the Director of Human Resources and Benefits Manager.

*Conduct new hire benefit orientation.

*Provide census information to brokers/vendors and other reports as needed.

*Reviews and follows up on documentation and information to meet the Firm's KYC/AML compliance regulatory requirements. 

*Identifies and addresses non-compliance and risk assessment issues with management and partners.

*Updates documentation and databases to keep current with compliance status of clients, the department and Firm's KYC/AML guidelines and procedures, as well as new regulations and requirements.
